Executive Assistant to the President & CEO

The executive assistant to the president and CEO provides complete administrative and project support to HOPE’s president and CEO. This includes calendar management, travel coordination, coordinating and hosting HOPE guests, supporting the executive team and HOPE International’s Board of Directors. The role also requires close collaboration with assistants in other HOPE departments.

RESPONSIBILITIES
To promote and fulfill the mission and vision of HOPE International

Administrative Support to the President & CEO
Help the president and CEO to promote HOPE’s culture and support HOPE staff
Understand and foresee needs of the president and CEO, and take initiative in ensuring he/she is able to focus on the highest-priority items and issues
Manage calendar and all details of the President and CEO’s often-changing schedule as well as the follow-up of projects with HOPE’s executive team and other HOPE team members
Coordinate president and CEO’s travel arrangements & coordinate travel arrangements and visit agendas for president and CEO’s visitors, as needed
Serve as the liaison between development representatives and the president and CEO for all development travel to each development staff location and all speaking events and conferences in those areas
Maintain schedule and personal contacts of president and CEO
Coordinate all of president and CEO’s meetings through orchestrating conference calls, reserving rooms, making reservations, etc.
Arrange all executive team meetings, and collaborate with director of strategic initiatives to coordinate quarterly all-day strategy retreats for the executive team
At the request of the president and CEO, draft email correspondence
Meet and greet all of the president and CEO’s visitors and host guests meeting with the president and CEO
Prepare and maintain president and CEO’s expense reports and credit card reports
Assist with administrative tasks and general clerical duties for the President’s Office
Undertake special projects (e.g., distribution of president and CEO’s publications)
Assist with the planning and execution for a few key internal events throughout the year

Board Support
Ensure appropriate meetings and engagement is happening with HOPE’s Board of Directors
Coordinate and compile all necessary board meeting documents and information from staff to provide board packets in advance of each board meeting for all board members
Coordinate all setup needed for HOPE board meetings, occurring four times per year, two in person, and two hybrid/virtual
Maintain the board action item register
Keep track of board governance documents such as minutes, notes, records of board member terms and positions, etc. in collaboration with director of strategic initiatives
Schedule quarterly board committee calls
Work closely with director of strategic initiatives to plan, follow-up, and document necessary information from board committee calls
Coordinate travel arrangements and lodging for HOPE board members to/from HOPE board meetings, as needed

QUALIFICATIONS
Personal confession of faith in Jesus Christ and commitment to the mission and vision of HOPE International
Passionate about the work of HOPE International
Strong analytical and problem-solving skills, flexibility, and a can-do attitude
Highly organized, including effective time management and prioritization of competing demands/multiple deadlines
Experience interacting with and making requests of senior management required
Strong attention to detail
Ability to work independently
Excellent communication skills, both oral and written
Ability to give and receive constructive criticism
Familiarity with Microsoft Office, particularly Microsoft Outlook, Word, and Excel
International travel, missions, and/or work experience and strong cross-cultural skills preferred
Bachelor’s degree required and at least two years of professional experience preferred
