Grants Coordinator

The grants coordinator is responsible for project management and administrative support within the grants team, as part of the development department. This role will serve in a project management capacity, liaising with regional representatives and grants advisors to help develop effective reporting and fundraising communications that educate, engage, and help raise funds for HOPE. This role will also liaise between operations, finance, and development teams to help manage the flow of content, information, and funds. The grants coordinator will also work on special projects, particularly research-oriented, as needed.

Project management
Act as the liaison between project requestors (primarily regional representatives and senior HOPE leaders) and the grants department by facilitating project intake meetings where necessary, generating projects and tasks in our project management software, and monitoring project deadlines.
Maintain accurate vision across departmental project workload, identifying critical delivery dates, monitoring project constraints and allocations, and proactively raising concerns to the grants team and HOPE leadership as needed per project.
Track reports and proposals through the entire grant life cycle. Creating new tools and dashboards to track projects may be necessary.
Champion HOPE’s project management software (Wrike) to facilitate the smooth and timely production of all grants projects.
Collaborate with the finance team to allocate grant funds appropriately, tracking grant spending and remaining needs to facilitate smooth cash flow over the course of the fiscal year.

Administrative & logistical support
Help schedule, organize, and maintain notes and action items for grants team meetings, quarterly GA calls, campaign sync-ups, and major donor and prospect reviews.
Build and maintain effective content database for use by the advancement team. Content includes notes from interviews, annual business plans, trips to the field, Conversations with Field Leaders, and recurring operational meetings.
Develop and pursue ideas for new ways to gather content from the network of HOPE-managed and partner programs.
Maintain the consistency of HOPE International’s Christ-centered identity, voice, and brand throughout communications, performing regular audits of grants team projects.
Support advancement operations with various tasks occasionally. Examples include coordinating the mailing of quarterly impact reports, updating SalesForce information, and helping during major regional event season.

Strong oral and written communicator; able to listen, distill action items, respond in a timely fashion, and clearly articulate concise responses to all stakeholders
Exceptional project management and organizational skills; including effective time management, prioritization of competing demands and multiple deadlines, and advanced problem-solving skills
Experience working in technical databases (e.g. Salesforce, Raiser’s Edge, HubSpot CRM) preferred
Solid PC-based computer skills are required; Familiarity with Microsoft Office suite is required
Prior use of project management software, such as Wrike or Asana, is preferred
Bachelor’s degree in marketing, business, communications, or a related field
